Job Description

Job profile - General Admin
Scope of services
1. Coordination for Travel Arrangements, itinerary, forex, visa, invitation letters, agendas, etc.
2. Management of Team meetings - Booking rooms / VC rooms
3. Organize and co-ordinate Leadership meetings. Record, transcribe & distribute minutes of the meeting to the teams post meeting.
4. Stationery ? replenishment, Printing Material management. Making these available as required in meeting rooms
5. Updating SharePoint - Organizing, uploading and providing documents as required
6. Coordination with IT team for Shared drive access, Asset requirement / maintenance
7. Coordination during New hiring for scheduling interviews, meeting rooms booking, tests administration, coordination with panel and candidates, staffing and related tasks, New Hire onboarding etc.
8. Coordination during Off boarding Team members
9. Employee Data management with regards to maintenance of organization chart up-dates of the various stakeholder functions
10. Prepare and edit correspondence, organization announcements ,appointments notices , presentations and other documents as required
11. Handle confidential information and communication with all levels of management in a professional manner
12. Coordinate with different project team members for any actions to be closed and maintain tracking status
13. Training support: Novartis conducts or facilitates multiple trainings that involve the entire site. This involves sending invites, tracking attendance, booking rooms, printing study material, arranging food and snacks, arranging stationery.
14. Coordination and Management of team events, town hall, Team off sites, Team building events, Conferences - sending invitees, booking rooms and coordination with facilities for seating, AV support, projector, VC, tracking attendance, printing of support materials, arranging food / snacks, stationery, hotel reservations, coordination with Travel desk, etc.
15. Eshop (PO to payout system) activities ? Request creation, GRN creation, Invoice submission, Payment monitoring etc.
16. Vendor interactions for POs, Invoices ,Payment processing
17. Admin support to team members (inventory / assets tracking, pulling reports, creation of PPTs, training registration links, etc.)
18. Collect, analyze and consolidate information and prepare reports.
19. Maintain departmental files and proper submission of approval forms
20. Support during Audit / inspection
21. Event support: Learning and Quality Carnival and Innovation events, Video recording facilitation
22. Visitor support: Leadership Visits (Invite Letter, Agendas ), Planning for global Novartis visitors, Hotel Reservations for the special events
